Moving company or freight forwarder: which one you need

Anyone can quote a South African job. Far fewer run the route often enough to price it accurately, and the difference shows up on delivery day rather than in the quotation. Route volume is the thing worth asking about, and almost nobody does.

A freight forwarder moves a container from port to port. An international moving company packs your house, handles the customs entry, clears the goods and delivers to the room you want them in. Both have their place, and quotes from the two are not comparable even when the numbers look similar.

The word most often missing from a cheap quote is what it excludes. Destination handling, port charges, customs clearance and delivery beyond a certain distance from the port are the usual four. A quote silent on any of them is where a low headline figure is hiding.

FIDI FAIM is the one with real teeth. It is audited by Ernst & Young against more than two hundred criteria covering financial stability, operational process and claims handling, and firms lose it if they fall short.

BAR Overseas is the British Association of Removers overseas division, covering UK operators on international work. IAM is the International Association of Movers, a global membership body. EUROMOVERS and FEDEMAC are European networks.

Membership and certification are not the same thing. Only FIDI FAIM involves an independent audit at that depth, which is why it is worth weighting above the others.

Five questions worth asking

How many South African shipments did you handle in the last twelve months. A firm that runs the route weekly answers immediately.

Who clears the goods at the far end, and are they your own office or an agent. Both are fine; a vague answer is not.

Is destination handling included, and what is the delivery radius from the port before extra charges apply.

What does the marine cover exclude, particularly around owner packed items.

Will the crew who survey be the crew who pack. On this route that is often no, and it matters less than the first four, but the answer tells you how the firm is organised.

Warning signs

A quote produced without a survey, in person or by video. Volume cannot be estimated over the phone with any accuracy, and a figure that moves sharply after collection started life as a guess.

A price meaningfully below everything else. On a route with fixed sea freight costs, the saving has to come from somewhere, and it is usually the exclusions.

Pressure to pay a large deposit early. Staged payment against milestones is normal; a substantial sum up front before anything happens is not.

📄 SARS and the entry

Customs relief on the way in

Household effects arriving on a permanent change of residence qualify for relief from duty and VAT under rebate item 407.06 of Schedule No 4 to the Customs and Excise Act. VAT stands at 15 per cent. Motor vehicles, alcoholic drinks and tobacco are excluded and fall outside the rebate entirely.

The entry is supported by form DA 304 with form P1.160 and a specified inventory. Returning South African residents must show at least six months abroad for reasons other than touring or studying. Nothing brought in under the rebate may be sold or disposed of within six months of clearance without the duty falling due.

Questions worth asking before you book

What is the difference between a moving company and a freight forwarder?

A freight forwarder moves a container between ports. An international moving company packs your household, produces the customs inventory, handles the SARS entry, clears the goods and delivers into the property. Quotes from the two look comparable and are not. If a figure seems low, check which of those stages it actually covers before comparing it with anything else.

Which accreditation matters most for South Africa?

Ernst & Young assesses member firms against more than two hundred criteria covering financial stability, process and claims handling, and certification is lost if standards slip. BAR Overseas, IAM, EUROMOVERS and FEDEMAC are memberships of reputable bodies but they do not involve audit at that depth.

What is usually left out of a cheap quote?

Four things, most often. Destination handling at the South African port, port and terminal charges, customs clearance, and delivery beyond a set radius from the port. On an inland move to Gauteng that last one alone can be substantial. Ask for each to be confirmed in writing as included or excluded before comparing figures.

How do I know a mover really runs this route?

Ask how many South African shipments they handled in the past twelve months, and who clears the goods at the far end. Firms with genuine volume answer both without hesitation and can name the destination agent or their own office. Vagueness on either question usually means the job would be subcontracted to somebody you have not spoken to.

Should I get several quotes?
